Task Management Overview
Project schedule sets all tasks on a timeline using task-to-task relationships. Each task becomes active once its conditions are met and automatically comes up on the Task Consoles of its assigned resources. Through schedule Tasks are well organized and easy accessible.
Types of Tasks
In Task Management, term task has broad meaning. VGK uses different task types to address project needs.
Planned Schedule tasks that form the majority of project work. They are part of the initial project contract and budget.
Unplanned Tasks that come up during the course of a project. EWOs require additional approval and have their own budget.
Problems identified in course of the project. Issues might increase item budget, and cause delay in project execution. Issues require special attention and effective resolution. It may trigger an extra work order.
Notifications to help users to address important assignment in timely fashion. Reminders are part of planned tasks and used to notify staff regarding task portion that require extra attention. Reminders have activation date that might be preliminary or follow-up steps for the task.
Task Management process
Schedule tasks are created during planning process. Each schedule item has defined place (start/end dates, duration) and complete work scope which includes activities (materials, equipment) and reminders.
During schedule planning resources are assigned to Schedule Tasks: activities and reminders.
All active tasks, assigned to employee, are reported on Task Console. Task Console is a central point for daily ork planning, information sharing and collaboration.
Task Console presents tasks until they are completed. Relevant staff can work on active tasks and review their progress. Recent tasks can be reviewed on Task Console through “Recently Completed” section.
Task Console provide managers with ability to review Employee’s tasks and current work load as well as track tasks progress and employees work.
Task Console – effective daily planning and info sharing
Task Console is the central point for users to plan their work and share information. It combines on a single place all active tasks assigned to employee. Task details are always up-to-date, and include all relevant updates. Having all current tasks allows user to effectively plan and prioritize their daily activities and address tasks on timely fashion.
Task Console Functionality
The task console provides each user with direct access to everyday tasks functionality.
Task Console provides direct access to each task: schedule item, EWO task, reminder, issue, schedule. From those screens user can review all task details and update relevant information.
Actual work and hours can be recorded directly from Task Console. This automatically translates into time-sheet data and incorporates actual work information into project schedule and budget.
Mark task activity status as complete. This automatically notifies manager of activity completion.
Any team member can raise an issue whenever problems arise with their assigned tasks. Issues automatically notify the manager who either resolves the issue or reassigns it to another resource to deal with.
Project managers monitors task progress. Through Task Console they are able to review task details and move the schedule forward once task work is complete.
